General Information
DBS IDEAL™ is a corporate internet banking platform designed for all
companies ranging from small medium enterprises to large corporations.
DBS IDEAL™ Application Forms have to be signed by the company's authorised
signatories.
The related charges are categorised into: Set-up, Monthly Subscription and rental of Token & Installation charges
DBS IDEAL™ can be accessed any time around the clock. It is available
24x7 including, weekends and public holidays.
DBS IDEAL™ can be accessed from anywhere in the world as long as you
have an Internet connection.
Managing Your Accounts
|
You will have real-time access to the latest account information via
DBS IDEAL. You may also fetch historical transactions for the current
month plus 2 prior months.

DBS IDEAL™ has the capability to present daily statements from your
accounts held with other banks. You can instruct your other banks to issue
a MT940 to DBS. With this arrangement, DBS will be able to present these
statements to you via DBS IDEAL™.
DBS IDEAL™ is able to export statements into the following formats:
- MT940 SWIFT
- MT940 SAP
- CSV (Comma Separated Values - with column headers)

Transactions in DBS IDEAL™ are validated on a real-time basis for
data such as:
- Amount (non-zero value)
- Value Date (against transaction-specific cut-off times, public holidays and non-working days)
- The completeness of mandatory fields, such as debit account, beneficiary name, beneficiary address
(for cheques and demand draft), value date and details like bank branch code (for GIRO related transactions)

DBS IDEAL™ allows for the segregation of users based on transaction
or product functionalities. Users without the access rights to GIRO Payroll
and GIRO Management Payroll WILL NOT have access to view these transactions.
In addition, the access rights can be configured such that users view only
the payroll summary details instead of individual transaction details.
DBS IDEAL™ allows users to create models for all payment types for
recurring payments.
Models facilitate the creation of transactions by saving pre-determined payment details such as debit account, beneficiary name, account, bank and amount on a template. Pre-determined fields can be locked or protected so that crucial information cannot be edited or amended.
All models and transactions created from the models will have to be authorised before they can be used.
Transactions can be created with a future value date in DBS IDEAL™.
These transactions will be warehoused until the value date, and thereafter
processed accordingly. Transactions that have past value dates, exceeded
cut off times or are dated on non-business days, will automatically be invalid
during the transaction creation process.
DBS IDEAL™ is accessible anywhere and at anytime, so you can create
transactions and perform account enquiries on non-business days or any
hour of the day. However, transactions cannot be value-dated on non-business
days or after cut-off times on the same day.
DBS IDEAL™ provides a comprehensive list of reports from the depository
ranging from transaction specific reports to summary reports. These include
transaction summary reports, as well as detailed reports on cheque status
and GIRO status. Customers can define parameters to filter transaction information
based on categories such as debit account, value date range, status, beneficiary
name, amount.
Restricting transactions to only the approved beneficiaries can be done via the Restrict Beneficiary function.
You will only be able to select approved beneficiaries from the Lookup Library. You will not be able to enter the beneficiary name and accounts manually. Your designated administrator handles the maintenance of beneficiaries, and an authorizer will need to approve this restricted beneficiary list.
DBS understands the complex and unique requirements of every customer. Hence,
DBS IDEAL™ provides customers the flexibility to restrict users by
settlement accounts; i.e. customers can select the settlement accounts that
each user can have access to. Such a set-up may be applicable to situations
where a business unit under a group has access to only its own set of accounts
for transaction initiation and accounts enquiry.
DBS IDEAL™ also allows the segregation or restriction of users by
transaction types. For example, only users from the Human Resource Department
can have access to the GIRO Payroll transaction type.
The bank will process transactions that have been approved successfully according to the specific value date. Authorised signatories will have to write to the bank to make changes or amendments to these transactions. If the transactions have already been processed, for example, the cheque has already been mailed to the beneficiary, you will have to issue a stop payment instruction.
For cheque transactions issued via DBS IDEAL™, customers will be able
to place stop payment instructions via DBS IDEAL™. However, a separate
manual stop-payment instruction signed by the authorised signatory will
have to be issued to the bank for DBS IDEAL™ related transactions.
Making Trade Applications
Integrating Your Systems
The integration capabilities of DBS IDEAL™allow customers to upload transactions from their ERP system. Files imported generated from the ERP system need to be encrypted before they are imported into DBS IDEAL.
The file will be decrypted during the upload process and details of the transactions will be validated for the completion of mandatory fields and accuracy of key fields such as settlement account, value date, bank branch code, transaction count and total amount.

Based on the matrix above, customers can continue to use their existing file formats in the old version of DBS IDEAL™such as IBG, NETSFEDI, Remittance V1 and Cheque Express.
IDEAL provides encryption to the file generated from the customers' ERP system before importing. An encryption tool is installed during the implementation process by DBS. The encryption tool provides a user-friendly interface for the customer to encrypt the file with a single click.
Customers can also specify the location of the clear file generated by the ERP system and the destination of the file after the import. The original file is stored as a backup.
The encryption tool supports only single access for the current version where it can be installed in a desktop. The server-based version will be available towards the end of 2005. With this version, the encryption process can be executed automatically via a script or batch file that customer has to prepare themselves. DBS does not provide support to the script or batch file.

Import files with Processed (Black) status will be automatically routed for approval by the signatories and as such will not allow any amendments to the imported details.
Approving Transactions and Applications
The set-up of the authorisation matrix can be done according to the account opening process or a different set of requirements. Both approaches require approval from signatories as appointed in the Board of Resolution. The authorisation limit in DBS IDEAL™can be set based on the highest transaction value in a batch or total batch amount.
Different authorisation limits can be applied to different transaction types in DBS IDEAL. For example, collection-related transactions can be set-up to have only 1 level of approval for any amount; where payments-related transactions require 3 levels of approval based on the amount.
DBS IDEAL™allows the configuration of user access rights and privileges in 2 categories:
- Single access: where the maker can authorise his / her own transactions;
this is applicable for small companies where DBS IDEAL™
is operated by one person
- User Segregation: where there is a segregation of duties between makers and authorisers;

DBS IDEAL is accessible anywhere as long as there is an Internet connection. The authoriser can login to DBS IDEAL when he is out of office or on overseas assignment to approve the transactions with his Token.
When the authorisation is done after the cut off time, DBS IDEAL will prompt the authoriser that the transactions have passed cut-off time, and will provide an option for the system to automatically adjust the value-date to the appropriately. Alternatively, the authoriser can choose to reject the transactions and have the maker perform the necessary amendments before approval.

DBS IDEAL is a web-based application, which requires a browser via the Internet and is accessible via the URL (Uniform Resource Locator):

. Companies with stringent Internet policies will need to configure their firewall to allow access to the DBS IDEAL login page.
No installations are required to run DBS IDEAL. For a file import of transactions into DBS IDEAL, you will need to install an encryption utility to ensure that the files are securely uploaded into DBS IDEAL and are tamper-free.

Security Features
| DBS has deployed the
following security mechanisms: |
- Transmission and Login Security
- DBS IDEAL is a VeriSign Secured Site. All information
is sent in a Secure Socket Layer session and is encrypted
to protect customers against unintentional information disclosure
to third parties.
- Login with unique Organisation ID and User ID
- Token login and authorisation (all users, makers and authorisers will require a token to login)
- File Upload Security
- Public Key Infrastructure
- Triple Data Encryption Standard

Automatic Logout Feature
DBS IDEAL automatically terminates the current session when it detects an inactivity of more than 15 minutes. The user will need to login again using their User ID and PIN to continue access to the service.
Constant and Vigilant Monitoring
We have put in place security surveillance systems to constantly monitor and detect any potential form of illegitimate activities on our network and systems.
Regular Review and Audit
Regular security reviews and audits are conducted by internal as well as external auditors.
For added security, DBS IDEAL does not store the User ID in the cache.
A full audit trail is available in DBS IDEAL. It captures information relating to the transaction such as date, action performed and name of the user.
Troubleshooting
DBS IDEAL uses pop-up windows for navigation across screens. Hence
you need to disable any pop-up blocker settings to proceed.
The most common popup blocker occur on Microsoft Internet Explorer and if you are using a Yahoo!
Toolbar. You can disable the popup blocker by following the step by step instructions on these
websites:

The User ID will be locked-out after 3 invalid login attempts.
The Token will be temporarily locked after 3 invalid attempts to enter the PIN into the Token; 2
retries are available after a 15-minute interval after which the token will be locked permanently.
When the User ID or account is locked or you have forgotten your PIN, you
will have to submit the DBS IDEAL Application Form again to DBS.

or enquiries relating to DBS IDEAL. The details are:

| DBS has deployed the
following security mechanisms: |
| 2FA uses the combination of two different factors for verifying a user's identity. The two factors involved are something you have and something you know. A common example is when using your ATM: the card itself is the physical item (something you have) and the PIN is the data that goes with it (something you know). Someone who finds your ATM card is unlikely to also know your PIN number. |
All DBS IDEAL users will be required to login using the new security device in addition to the Organisation ID, User ID and PIN assigned to you.
With Online fraud becoming increasingly sophisticated, a more stringent online security is needed to combat potential cyber crimes. With the implementation of 2FA, should your User ID and PIN be compromised for any reason, the "thief" will need to have your personal security device, without which he will be unable to access IDEAL. This makes it more difficult for hackers who manage to obtain a string of customers' User IDs and PINs via phising or spyware.
- Higher security level - fraudsters cannot steal 'something you have' in your physical possession (such as mobile phone) over the Internet.
- Protection for high-risk transactions - all high-risk transactions (such as fund transfers to non-designated accounts) are protected by an additional authentication factor which is physically held by you only.
- Convenient and ease of use - you can have greater online security by taking a few more steps, which are simple and straightforward.
The Security Device generates a unique Security Access Code (SAC) that acts as a second level authentication for you. After registering your Security Device, you will require it whenever you log in to DBS IDEAL. More specifically, you will need to login in with your Organisation ID, User ID and the Security Access Code (SAC) that is displayed on the security device.
The security device will be mailed to individual users in the company in a registration pack. The registration pack will contain the following items:
- Welcome letter containing the existing login credentials;
- New security device; and/or
- Acknowledgement Letter (for appointed DBS IDEAL authorisers only)
This Registration Pack will be mailed to you on a phase-by-phase basis from 1 June 2007 onwards.
Upon receipt of your login credentials and security device, we strongly encourage you to login to DBS IDEAL to perform a self-registration. An online user guide will be available to assist you in this simple, one time process.
Self-Service Maintenance
| The Self-Service Maintenance enables our DBS IDEAL™ users to
execute the following by logging onto DBS IDEAL™ itself, without
having to write to DBS:
- Unlock User;
- Request of PIN reset; and
- Unlock Token
|
You have to nominate two Administrative Officers in Part 3 of the forms
enclosed with the notification letter sent to you.
The Administrative Officers can be existing
users of DBS IDEAL™ or brand new users. If they are existing users of DBS
IDEAL, they can enjoy the functions with the existing login credentials
assigned to them (i.e. Org ID, user ID, PIN). If they are brand new users,
then new login credentials will be sent to them upon receipt of the completed
documents.
To enable the above functions to be carried out from DBS IDEAL™ itself
securely, one Administrative Officer has to make the request and another
person has to authorise the request.
No. For security reasons, the Login PIN will still be generated by DBS and sent to the user directly. However, users who have forgotten their PINs can make the requests through this Self-Service function, without having to write to DBS with the signed forms.
The Self-Service Maintenance features on DBS IDEAL™ requires at least
two users. If you're the sole user on DBS IDEAL, you would not be able
to have the Self-Service maintenance features. Thus, you are required
to submit the signed maintenance forms to DBS for any maintenance requests.
The assignment of User Access Rights will still be residing with DBS. You need to complete the maintenance forms for any changes in the User Rights on IDEAL. A copy of the maintenance form can be downloaded from www.dbs.com/ideal
From 1 June 2007 onwards, DBS will be sending appointed IDEAL™ authorisers email notification once we have processed the Acknowledgement Letters so that the authorisers can perform the self-registration of their security devices.
From 1 June 2007 onwards, the acknowledgement letter(s) will have to be signed by the individual owner of the security devices for the activation of these appointed DBS IDEAL™ authorisers. This is aimed at expediting the activation of these users without having to trouble the authorised signatories of the Company to sign off on behalf of the security device holders.
Currently, non-authorisers of DBS IDEAL™ are not required to return any
acknowledgement letters for activation. This means that with 2FA, non-authorisers
can perform self-registration of their security devices immediately upon
receipt of the registration pack.
Users that did not provide their individual email addresses, will not be sent any email notifications
If no Administrative Officers are assigned, you would need to write to DBS with the signed Maintenance forms for any of the abovementioned functions. This process may take a longer turnaround time compared to completing the requests via DBS IDEAL™ itself. As such, we strongly encourage all users to appoint the Administrative Officers.

To terminate your IDEAL™ access, you can write an official letter (Company's letterhead). This letter has to be signed off by the authorised signatories.
The Self-Service Maintenance features allow appointed IDEAL™ users (Administrative Officers) to carry out the following functions, without having to submit the signed forms to DBS.
- Unlock User;
- Request of PIN reset; and
- Unlock Token
